The contest to host stopovers in the next two editions of the Volvo Ocean Race attracted interest from 60 cities in 27 countries looking to stage the race, making it one of the largest host city bidding processes in sport.
The Volvo Ocean Race and The Sports Consultancy, who have provided commercial consultancy and legal services to the Volvo Ocean Race since 2003, wanted a means to cost-effectively reach all candidate cities to present the benefits of becoming a Volvo Ocean Race stopover port and to explain the steps and timing involved in the host city bid process.[/tab]
3xScreen produced and live streamed a Host City Bid Process Webinar for the Volvo Ocean Race so that all potential host cities could attend the presentation without having to leave home.
3xScreen developed a dedicated microsite for the live webinar that included password-protected access to the live presentation for the candidate cities and the ability for the organisers to track who watched and for how long. Candidate cities were able to ask questions prior, during and after the webinar via a web form incorporated in to the microsite. Immediately after the webinar, the live broadcast was replayed on a loop until trimmed clips of each of the individual presentations were uploaded and hosted for subsequent on-demand access by candidate cities.
For the production, 3xScreen created a portable green-screen studio in Lorient where the majority of the management team were located with a HD Livepack connection back to London where The Sports Consultancy principals hosted the webinar in front of a green screen at 3xScreen’s Clerkenwell studio. 3xScreen’s Video Call Streaming solution was used to integrate the Race’s management team members in Galway and Alicante. Video clips, photographs and Keynote slides were integrated in to the presentation by the use of our Tricasters. To ensure the presentation was well coordinated between each of the four live broadcast locations, each was provided with a live program output video feed and all presenters were given a mix-minus program output audio feed with production comms added for coordination.
The webinar was a stunning success. Candidate cities viewed the Webinar microsite more than 800 times and the webinar itself was a well-coordinated, interactive, multimedia presentation that effortlessly integrated presenters from across the four broadcast locations and responded to candidate city questions – as if all the presenters of the day were in the same room as the audience.
